| Our client, a large government establishment has an exciting and rewarding temporary position to suit an experienced PA with strong admin skills to provide support to staff as well as the head of department. Its a great environment and superb chance to live london to the fullest as the position is ongoing (probably for up to a year). * Organise and prioritise routine workload * Sort, record and allocate incoming and outgoing mail and literature (electronic and hard copy). All post to be opened on day of delivery and logged if necessary. Deal with general correspondence and use discretion to answer routine items. * Highlight urgent matters to those concerned. * Answer incoming telephone calls Screen calls to ensure that only those, which are appropriate are put through. * Provide updates and briefing for head of department as required. * Maintain diary on a daily basis, ensuring optimum use of time * Organise meetings and conferences, liasing with Heads and other Directorates. Rearrange such meetings and conferences when required. Ensure that all meetings are held within the timescales required * Rationalise meeting times (to avoid back-to-back meetings where possible, to allow free time etc.). Keep contact details of outside people involved. * Ensure that access to papers required for meetings are available the day before the meeting. Prepare 'meeting packs' (agenda, previous minutes, relevant papers). * Type any memoranda or letters required and ensure their prompt dispatch. * Take minutes at meetings if required and produce then promptly, following up action-points if necessary. * Presentation preparation, working with Power Point. * General ad hoc duties such as photocopying, maintaining the filing system, ordering coffee/lunch etc. for meetings. Maintain stocks of refreshments as required. General assistance to other branches of the division when they are under pressure. Competent on the following software packages i.e. Excel, Powerpoint: * Ability to write Standard English - good written skills * To maintain and monitor Excel spreadsheets * Ability to keep detailed and accurate records * Ability to use a photocopier * Working knowledge of MS Office Word NT and XP * Ability to learn to use internal software packages * Excellent organisational skills * Personal effectiveness * Ensure confidential and commercial management information handled is protected * Political nouce/ sensitivity * Professional outook This positon starts Wedneday August 26th and interviews will take place just after the bank holiday.
