Property Manager (experienced)
Hours of work: 9am 6pm Monday-Friday; occasional emergency weekend cover;
Salary on a range from 18,000 - 21,000 commensurate with experience, plus commission package.

We are seeking an experienced, self-motivated Property Manager with an open and flexible attitude. The ideal property manager for us will relish responsibility, be a team player and have a strong character!
This is a broad-ranging and responsible role where you will be managing other team members, properties, and client relations as well as helping to drive the team forwards in our expansion plans. Job Description
Essential:
Property management experience
Must have fluent written and spoken English and have excellent communication skills
Desirable:
Familiarity with CARL Software
ARLA trained an advantage (although ARLA training will be given)
Team management experience

Job Description: (please note this is a broad overview and does not form an official job description)
1. Property Management Portfolio Upkeep
1. Monitor rents, costs and landlord expenditure on all managed properties;
2. Deal with all landlord and tenant issues, maintaining a written paper trail/CARL trail of discussions;
3. Processing monthly rents (Banking, statements, updating cash flows);
4. Dealing with trades people, keys, logistics of property management, getting quotes, keeping track of jobs, updating CARL, talking to LLs and tenants to keep them informed. Raise invoices for short lets/reconcile tenants income at start of deal;
5. Responding to queries from landlords or tenants re. maintenance issues or to do with check-ins;
6. Meeting tenants and landlords to deal with queries and build relationships;
7. Responding to weekend property emergencies;
8. Setting in place new systems for more efficient property management;
9. Chase tenants re rent overdue;
10. Arrange check outs/deposit returns/references for previous tenants;
11. Provide documentation or information for landlords for Overseas Tax/ Provide yearly tax breakdown about landlords for tax office;
12. Add detail to all bank statements;
13. Ensure all managed LLs are up to date re gas certificates;
14. Maintain accurate files of trade; ensure reception keeps the contact list for trade up to date;
15. Maintain accurate key system/record;
16. Ensure accurate deposit records are kept at all times;
17. Further duties as needed.
2. Lettings Management
1. Create all lettings agreements and update CARL with full input from neg. team;
2. Manage letting fee payment schedules;
3. Daily run through of HD properties and update on account;
4. Processing new accounts preparing invoices, arranging move in details with tenants, banking and statements, tenancy agreements;
5. Ensure MARAS forms are filled in correctly; this is crucial.
6. Ensure holding deposit forms are filled in correctly; liaise with neg/tenant re rent due date prior to moving in;
7. Ensure all conditions of tenancy are clearly communicated between neg/LL/tenant
8. Ensure all break clause/special conditions of tenancy are clearly communicated
9. Further duties as required.
3. Administration and Accounts
1. Prepare figures for monthly staff meeting;
2. Preparing and paying invoices;
3. Maintain petty cash;
4. Arrange reimbursement of travel for staff;
5. Update monthly income sheet;
6. Weekly run-through of invoices and preparation of letters/follow ups;
7. Do all commission for negotiators;
8. Other admin duties as requested.
4. Staff Management
1. Support property coordinator to complete inventories and check ins/outs;
2. Support property coordinator in property inspections;
3. Managing property coordinators time/workload with him and supporting him;
4. Supporting Lettings Manager in finding new business;
5. Ensure team stick to agreed costs/expenditure;
6. Administration/paying of wages for part timers, loaders, flyerers;
7. Oversee casual work by loaders/check invoices;
8. Keep eye on printing needs/when running low on headed paper etc.;
9. Ensure lettings team stick to correct key system for properties: do spot checks and twice yearly reconciliation;
10. Other staff management/HR duties as required.
