Operations Administrator
Salary - GBP21,000
Hours of work – Monday to Friday 9am – 5:30pm
This position is responsible for providing effective PA/secretarial and administrative support to the directors within the Operations function (Director Member Services Europe and Group Director Interval Travel) and the Service Centre management team.
The main responsibilities of this role are:
Collate activity statistics for the Service Centre so that accurate and current data is available for line management.
Provide a courteous and competent telephone handling service for the directors as required so that appropriate follow up action is taken.
Screen e-mail communications for the directors as requested so that priorities can be identified and proper action taken on issues.
Co-ordinate diaries and appointment schedules and ensure that the weekly senior staff movement plan is updated.
Make travel arrangements for the directors and members of the Service Centre management and supervisory team in conjunction with Interval Travel so that business trips are effectively scheduled and cost effective arrangements are made.
Collate documentation for the Director of Interval Travel in relation to cheque signature so that payments are processed efficiently.
Co-ordinate monthly reports from European travel agency partners so that these are available for review and analysis by the Director of Interval Travel.
Responsible for the coordination of the revenue and expenses budgets for all International offices
Control reporting deadlines with effective use of tracker report
Liase with UK & European Member Services Managers to categorise reasons for employees leaving on a monthly basis.
Undertake correspondence and other forms of written communications for the directors as required.
Ensure filing systems for the directors are maintained on an up to date basis so that documentation is available when required.
Assist with corporate meetings and catering arrangements as required so that arrangements run smoothly and a professional image is conveyed to visitors.
Organise annual Member Services conference.
Co-ordinate internal meeting arrangements as required.
Provide cover for the main reception on a rota basis to ensure that callers in person and by telephone are treated with the utmost courtesy and efficiency and directed appropriately.
Presentation of office notice boards including design and content
Administer and record company credit card transactions for monthly reporting
Support Corporate Communications manager in the compilation, distribution and recording of media; monitoring reports
Assist in researching internal communication publications and press releases
Undertake any other duties as may be required consistent with the post.
