One of my large insurance clients is in search for an experienced Team Secretary on a temporary basis to provide day to day administrative support services to the Finance & HR Division to enable them to properly fulfill their job descriptions to the very best of their individual abilities. You will act as the primary contact point for Finance and drive the completion of administrative processes, documentation, meeting arrangements etc.
Your role will involve:
* Ensuring all Finance documentation is kept up to date.
* Coordinating, with HR, the Finance recruitment process, specifically responsible for:
* ensuring up to date job descriptions exist.
* Finance staff diary management for recruitment meetings.
* coordinating desk set-up for new arrivals.
* Monitoring and reporting on overall Finance budget.
* Arranging meetings and minute taking during the meetings.
* Updating the financial aspects of the Report & Accounts.
* Travel and accommodation arrangements.
* Holidays, Sickness and Progress monitoring & reporting to HR.
* Timetable administration, working with Finance and other support functions.
* Diary management as appropriate.
* Ad-hoc projects as required.
You must the initiative and the ability to prioritise effectively. As well as have great communication skills. Previous experience in Financial services and HR is also ideal. Excellent IT skills in Excel, Word and PowerPoint are required.
This is a really involved, senior role. Only applicants with Team Secretary or PA experience in a corporate environment for a minimum of 2 years will be considered. It is a long term maternity cover role to start immediately.
